Cold email software sends sequences of outbound email from your own mailboxes and handles warmup, rotation, scheduling and reply tracking. Anyone who runs outbound at volume needs one: founders, SDR teams, agencies and RevOps.
Most buyers leave a tool for one of three reasons. The send cap is too low, the price jumps at the tier they need, or the contacts they upload are bad. The last one is a data problem, not a sender problem. Apollo (see our Apollo alternative) bundles both and charges per seat.
We ranked six tools on published limits and list prices from September and October 2026. We did not run a deliverability test, so we make no claim about inbox placement. The right sender still depends on your data source. For warmup, read our guide to cold email warm-up tools.
TL;DR
| Tool | Best for | Starting price | Cost at 1M records a month |
|---|---|---|---|
| Instantly | High-volume senders with many mailboxes | $47 a month | No public 1M price. Top listed tier sends 500,000 emails a month. |
| Smartlead | Agencies running many client workspaces | $39 a month ($32.50 billed yearly) | No public 1M price. Top listed tier sends 500,000 emails a month. |
| lemlist | Multichannel outreach with email, LinkedIn and calls | $69 a month per user ($55 billed yearly) | Multichannel lists unlimited emails at $109 per user ($87 yearly). |
| Apollo | One tool for data and sequences | $65 per seat a month ($49 billed yearly), Professional $99 ($79) | $24,750 a month at list price for 1M email lookups ($19,600 yearly). |
| Saleshandy | Low-cost sending with built-in lead data | $41 a month ($34 billed yearly) | No public 1M price. Pro sends 100,000 emails a month. |
| LeadOcean | The data layer: API and MCP, no sending | Free, then $97 a month | $497 a month on Agency, no per-record price. |
For sending tools a record is one email sent. For Apollo and LeadOcean it is one contact record. Prices are monthly list price first, billed-yearly figure after it.
What we evaluated
- Send capacity: emails a month per plan, mailbox limits and how the price changes at 100,000 and 500,000 sends.
- Price model: per seat, per tier, or per credit, and what an extra 100,000 sends costs.
- Deliverability tooling: warmup, rotation, bounce detection and inbox placement tests that the vendor publishes.
- API and MCP: a documented REST API, a published rate limit and an MCP server for agents.
- Data inside the tool: whether it ships a lead database or needs your own list, and what a contact costs.
1. Instantly: best for high-volume senders with many mailboxes
Instantly sells sending capacity. Every plan has unlimited email accounts and unlimited warmup, so you add mailboxes without paying per inbox. The cap is monthly email volume and uploaded contacts.
The ladder is steep. Growth sends 5,000 emails a month and holds 1,000 uploaded contacts. Hypergrowth holds 25,000 contacts. Light Speed sends 500,000 a month and holds 100,000 contacts (Instantly pricing, September 2026). Past that, you talk to sales.
The API is documented. The limit is 100 requests a second and 6,000 a minute for the whole workspace, shared across keys and API versions (Instantly API docs, September 2026). Its MCP server exposes the V2 API as tools for Claude and Cursor (Instantly MCP docs, October 2026).
Pros
- Unlimited email accounts and warmup on every plan.
- 500,000 emails a month on Light Speed, the highest self-serve cap in this list.
- Published API rate limit, applied per workspace.
- Cheap entry at $47 a month.
Cons
- Uploaded contact caps (1,000, 25,000, 100,000) bind before the email cap for many teams.
- No public price at 1M emails a month. Enterprise is custom.
- The pricing page disagrees with itself on Hypergrowth sends: 125,000 on the card, 100,000 in the compare table. Plan to the lower number.
Best for: teams that run dozens of mailboxes and need cheap sending volume. Pricing: Growth $47, Hypergrowth $97, Light Speed $358 a month, Enterprise custom (Instantly pricing, September 2026).
2. Smartlead: best for agencies running many client workspaces
Smartlead is built for agencies. Client workspaces are a $29 add-on on Pro and Smart, and Prime includes 3 or more, plus SmartServers and a private Slack channel (Smartlead pricing, October 2026). Contacts are unlimited on Smart and Prime.
Monthly list prices are $39 for Base, $94 for Pro, $174 for Smart and $379 for Prime. Billed yearly they are $32.50, $78.30, $144.50 and $314.60 (Smartlead pricing, October 2026). Base sends 6,000 emails a month, Pro 90,000, Smart 150,000 and Prime 500,000.
Smartlead sells verified prospect emails, mailboxes and domains as add-ons. A fresh Google or Outlook mailbox through its SmartSenders partners is listed at $4.50 a month, and a domain at $13 a year. The mailbox bill grows with your sending, so budget for it.
Pros
- Client workspaces for agencies, with API and webhooks from Pro.
- Unlimited contacts on Smart and Prime.
- Verified prospect emails included on Smart (50,000) and Prime (170,000) a month.
- Mailboxes and domains can be bought inside the tool.
Cons
- Prime stops at 500,000 sends. No public 1M price.
- The mailbox add-on adds up at volume.
- No API on Base, and verified emails are a $59 add-on on Base and Pro.
- No MCP server in its API docs index (Smartlead llms.txt, October 2026).
Best for: agencies that need client separation. Pricing: Base $39, Pro $94, Smart $174, Prime $379 a month; yearly $32.50, $78.30, $144.50, $314.60 (Smartlead pricing, October 2026).
3. lemlist: best for multichannel outreach
lemlist adds LinkedIn, SMS and calls to email. The Email plan is $69 a month ($55 billed yearly) and includes unlimited users and senders, with 50,000 emails a month. Multichannel is $109 ($87 yearly) per user, with unlimited emails and messages and five senders per user (lemlist pricing, September 2026).
It also ships a lead database with a page claim of 650M+ leads, an email and phone finder, and an MCP server and CLI on the Email plan. Data is metered. The enrichment add-on is $20 a month ($16 yearly) for 2,000 credits, which is 400 emails or 100 phone numbers.
The API allows 20 requests per 2 seconds per key, on all routes (lemlist API docs, September 2026). That is 10 a second.
Pros
- Email, LinkedIn, SMS and calls in one sequence.
- MCP server and CLI listed on the Email plan.
- Unlimited emails on Multichannel.
- Per-user pricing is simple for small teams.
Cons
- Per-user pricing grows with headcount.
- API limit of 20 requests per 2 seconds per key.
- Data is metered separately: 400 emails per $20 add-on.
- Five senders per user caps real sending volume.
Best for: SDR teams that want email plus LinkedIn and calls in one tool. Pricing: Email $69, Multichannel $109 per user a month; yearly $55 and $87 (lemlist pricing, September 2026).
4. Apollo: best when you want data and sequences together

Apollo is a contact database with sequences, a dialer and a rep workspace. It is priced per seat with a credit allowance. Billed monthly: Basic $65, Professional $99 and Organization $149 per seat, with Organization needing three seats. Billed yearly: $49, $79 and $119 (Apollo pricing, September 2026).
The cost shows up when you pull contacts. An email costs 1 credit and a phone number costs 8. Credits are pooled, expire each billing cycle and do not roll over. Professional grants 4,000 credits a seat a month. So 1M email lookups need 250 seats: $24,750 a month at list price, or $19,600 on yearly billing with 400 Basic seats.
The API is open on every plan. Enrichment endpoints allow 1,000 requests a minute on paid plans, and general endpoints 200 a minute (Apollo API docs, September 2026). The MCP server at mcp.apollo.io works on every plan, Free included (Apollo developer docs, September 2026).

5. Saleshandy: best for low-cost sending with lead data
Saleshandy is the budget option. Starter is $41 a month, Pro $99 and Scale $189, or $34, $76 and $149 billed yearly (Saleshandy pricing, October 2026).
Pro sends 100,000 emails a month, holds 30,000 active prospects and has unlimited email accounts and unlimited prospect storage. It includes a lead database that Saleshandy states at 852M+ contacts and 42M+ companies, with 4,000 lead finder credits a month. A verified work email costs 1 credit and a phone number costs 6.

Pros
- Low entry price, with 100,000 sends on Pro.
- Unlimited email accounts and prospect storage.
- Lead finder credits included in every plan.
- API and MCP on every plan.
Cons
- Pro stops at 100,000 emails a month. No public 1M price.

6. LeadOcean: best for data by API and MCP, no sending
LeadOcean does not send email. It is the data layer for the tools above: 693M people and 67M companies over REST and MCP, with 366M people that carry an email. Every record has an email_status with 13 values, from verified to spam_trap, so you can drop risky addresses before they reach your sender.
Place it honestly: it is not a cold email platform. It earns a spot because list quality decides bounce rate, and the tools above bill you for lists, credits or seats. Count first for free with leadocean_count_leads, then pull with POST /v1/people/search or export with POST /v1/exports.
curl -X POST https://api.leadocean.io/v1/people/search \
-H "x-api-key: $LEADOCEAN_API_KEY" \
-H "Content-Type: application/json" \
-d '{"jobLevel":["VP"],"country":["US"],"limit":25}'The app at app.leadocean.io has an Exports page with a filter builder, a column picker, the record price before you start and a CSV download. It has no sequencer, dialer, CRM or Chrome extension. Bulk CSV export is not on Free.
Pros
- 13 MCP tools, OAuth sign-in, on every plan.
- Flat price. No credits, no seats, no per-record price.
- Email status on every record.
- Free plan: 1,000 records for life, no card.
Cons
- It sends nothing. You need one of the senders above.
- No sequencer, dialer, CRM or Chrome extension.
- Fair-use pace instead of unlimited volume on Solo.
- Bulk CSV export is not on Free.
Best for: teams that pull B2B contacts by API or agent and send from another tool. Pricing: Free $0 (1,000 records for life), Solo $97, Agency $497, Platform $1,997 a month (LeadOcean pricing, October 2026).

Verdict
Instantly is the pick for raw sending volume, Smartlead for agencies, lemlist for multichannel, Apollo for a single seat-based workspace and Saleshandy for the lowest entry price. None of them publishes a 1M-emails price except through Enterprise or unlimited plans, so ask for a quote before you commit at that scale. If your bounce rate is the problem, fix the list first. LeadOcean is the data source in this group: start on the free plan, check email_status, and send from whichever tool above fits your team.

It depends on volume and team shape. Instantly leads for sending volume, Smartlead for agencies and lemlist for multichannel. Apollo wins if you want data and sequences in one tool.
